Kairo — Privacy Policy

This is a notice, not a contract. Nobody signs a privacy policy and it binds nobody. It is a public statement of what this website does with information, in the same category as a cookie notice. It is separate from Kairo's service agreements, which are contracts and are a different question. It describes what kairosites.com and the Kairo client portal actually do today, checked against the running site and code rather than written from a template. See the notes at the end for the two things to confirm before it goes live.

This policy covers the Kairo website at kairosites.com and the Kairo client portal at os.kairosites.com. It explains what we collect, why, who else sees it, and how to get it removed.

Who we are

Kairo builds websites for outdoor living contractors in Orange County, California. In this policy, "Kairo", "we", and "us" mean the Kairo business.

What we collect, and when

When you visit the website

We use two analytics tools on kairosites.com.

• Google Analytics tells us which pages people read and where visitors come from. It records your approximate location, browser, device type, and the pages you view.
• Microsoft Clarity records how the page is used, including mouse movement, clicks, scrolling, and a session replay of your visit. Clarity is configured to hide the text you type, so form contents are not captured, but you should assume your movement through the site is recorded.

Both work through cookies and similar browser storage. Neither is used to build an advertising profile of you, and we do not sell what they collect.

When you book a call

Booking is handled by Cal.com. To book, you give a name, an email address, and answers to three short questions about your business. A booking creates a calendar event and a Google Meet link. Calls are not recorded unless you are told at the start of the call and agree to it.

When you become a client

Once a project starts, we collect what is needed to build and run your website:

• your business name, the contact name, email address, phone number, city, and trade;
• the services you offer, the areas you work in, and the hours you actually answer the phone;
• your logo, photographs of your finished work, and your Google Business Profile link if you have one;
• your own pricing ranges, where the site includes an Instant Estimator;
• notes from our calls and messages, so the project has a written record.

You give most of this through the onboarding form in the client portal.

When you pay

Payments run through Whop. Card details go straight to Whop and its payment processor. Kairo never sees or stores your card number. We keep a record that a payment was made, the amount, and the date.

When you email us

We keep the email. Kairo sends email through Resend and Google Workspace mail services.

Where your information is kept

• Website hosting, the client portal, and its database run on Cloudflare.
• Photographs and logos you upload go to a private Google Drive folder owned by Kairo. They are not public, are not shared with anyone outside Kairo, and are not indexed by search engines. Viewing them requires signing in to the Kairo board.
• Payment records are held by Whop.
• Analytics data is held by Google and Microsoft under their own policies.

What we do with it

We use your information to build your website, keep it running, answer you, send invoices, and send a short monthly performance email if you are on the Hosting & Maintenance plan.

We do not sell your information. We do not share it with anyone except the service providers listed above, and only so they can do their part of the job. We will hand information to law enforcement only where the law actually requires it.

Photographs of your finished work appear on your own website, because that is what you hired us to build.

Kairo may also show your finished website, your business name, and photographs of the work in Kairo's own portfolio, marketing, and social media. Agreeing to the service agreement is what gives us that permission, so it is worth reading that part before you agree. Two limits apply either way: we will not publish your pricing, your customer lists, or anything you have told us to keep private, and if you ask us to take something down, we will.

How long we keep it

• Project material (business details, photos, logos, notes) is kept for as long as we work together, and for a reasonable period afterwards so the site can be rebuilt or handed over if you come back.
• Payment records are kept as long as tax and accounting rules require.
• Analytics data is kept for the retention period Google Analytics and Microsoft Clarity apply by default; we do not extend it.

Ask us to delete your material and we will, apart from records we are required to keep.

Your choices

You can ask us to show you what we hold about you, correct it, or delete it. Email team@kairosites.com and we will respond within a reasonable time. We will not treat you differently for asking.

You can also:

• turn off analytics cookies in your browser, or use a browser extension that blocks them;
• opt out of Google Analytics using Google's own browser add-on;
• ask us to stop emailing you at any time.

Children

Kairo sells to businesses. The website and the client portal are not intended for children, and we do not knowingly collect information from anyone under 13. If you believe a child has given us information, email us and we will remove it.

Changes to this policy

If this policy changes we will update the date at the top. If a change meaningfully affects current clients, we will tell them directly rather than relying on them to re-read this page.
